Privacy Policy
How Emcee IT Solutions LLC collects, uses, shares, and protects information across our marketing site, client services, and SaaS products.

1. Who we are
Emcee IT Solutions LLC ("Emcee", "we", "us", or "our") is a Texas limited liability company. We provide three categories of services:
- Marketing site & lead intake - this website (emcee.it) and related landing pages.
- Client services - custom software development and SaaS development we deliver under contract to client organizations.
- Emcee SaaS products - software products owned and operated by Emcee across multiple verticals.

2. Information we collect
2.1 Marketing site visitors
- Information you submit through lead forms (name, email, phone, company, project details).
- Chatbot transcripts when you interact with our on-site assistant.
- Device, browser, IP address, coarse geolocation derived from IP, pages viewed, referring URL, and interaction events captured by our analytics tools.
2.2 Client services engagements
- Business contact details for stakeholders involved in the engagement.
- Project requirements, source materials, brand assets, and reference data you share with us.
- Credentials, API keys, and access tokens you provide so we can integrate with your systems. These are stored in access-controlled vaults and used only for the agreed scope.
- Communications (email, project tools, video calls) related to the engagement.
2.3 Emcee SaaS product users
- Account registration data (name, email, password hash, organization).
- Billing data processed through our payment provider; we do not store full card numbers.
- Content, files, and records you create or upload while using the product ("Customer Data").
- Usage telemetry (feature usage, error events, performance metrics) used to operate and improve the product.
- Support tickets and related correspondence.
3. How we use information
- Respond to inquiries, send proposals, and follow up on leads.
- Deliver, maintain, and improve client engagements and SaaS products.
- Process payments, send invoices, and enforce contracts.
- Send service announcements, security notices, and (with consent or where permitted) marketing communications. You can opt out of marketing at any time.
- Detect, prevent, and respond to fraud, abuse, and security incidents.
- Comply with legal obligations and enforce our Terms of Service.
We do not sell personal information for monetary consideration. We do not use Customer Data submitted to our SaaS products to train third-party AI models without an explicit opt-in.
4. Cookies and tracking
We and our service providers use cookies and similar technologies on the marketing site:
- Strictly necessary - session, security, load balancing.
- Analytics - Google Analytics 4, Happierleads.
- Advertising / measurement - Meta Pixel.
- Functional - Google Translate, Chatnest chatbot.
You can disable non-essential cookies through your browser settings. Disabling cookies may limit site functionality.
5. Sub-processors and third parties
We use trusted vendors to operate our business. Each is bound by appropriate data processing terms.
- Google (Analytics, Translate, Workspace).
- Meta Platforms (Pixel for ad measurement).
- Happierleads (visitor identification).
- Chatnest (on-site chatbot delivery).
- Cloudflare (Turnstile bot protection).
- Email delivery provider (transactional email).
- Self-hosted infrastructure provider for application hosting and storage.
- Payment processor for SaaS billing.
For client engagements, we may engage additional sub-processors disclosed in your SOW or Data Processing Addendum.
6. Data retention
- Lead form data: up to 36 months from last contact, then deleted or anonymized.
- Analytics data: per the configured retention of each provider (typically 14-26 months).
- Client engagement records: for the duration of the engagement plus 7 years for tax, audit, and legal-defense purposes.
- SaaS Customer Data: while your account is active, then deleted within 90 days of termination unless a longer period is required by law or your contract.
- Backups: rotated within 90 days.
7. Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Request deletion (subject to legal and contractual retention obligations).
- Receive a portable copy of your data.
- Opt out of "sale" or "sharing" of personal information (US/CA - we do not sell, but you can confirm).
- Withdraw consent for processing based on consent.
- Lodge a complaint with a supervisory authority (EU/UK residents).
To exercise any of these rights, email contact@emcee.it. We will respond within the timeframe required by applicable law.
For SaaS Customer Data we process on behalf of a client organization, please direct your request to that organization; we will assist them in fulfilling it.
8. Children
Our services are directed to businesses and are not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
9. International transfers
We are based in the United States. Information we collect is processed and stored in the US. If you access our services from outside the US, your information will be transferred to the US, where data protection laws may differ from those of your jurisdiction.
10. Security
We implement administrative, technical, and physical safeguards appropriate to the sensitivity of the data we hold, including encryption in transit, access controls, secret management, audit logging, and least-privilege access for staff. No method of transmission or storage is 100% secure; if we become aware of a breach affecting your information, we will notify you and the appropriate authorities as required by law.
11. Changes to this policy
We may update this Privacy Policy from time to time. The "Effective date" at the top of this page indicates when it was last revised. Material changes will be communicated via the website or, where appropriate, by email.
